This policy explains what personal information Crescent Real Estate collects through this website, why, and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA).
Who we are
Crescent Real Estate (“we”, “us”) is an estate agency based in Bergbron, Johannesburg. We are the responsible party for the personal information described here.

What we collect
- Details you give us in a form: your name, phone number, email address if you provide it, and what you are looking for, such as whether you want to buy, rent, sell or let, the area, the type of property, bedrooms, bathrooms and budget.
- Property details: what you tell us about a property you want valued, sold, let or managed.
- Messages: anything you write to us in a form, by email or on WhatsApp.
- A record of your consent: the date and the wording you agreed to.
- A spam check: when you send a form, a scrambled version of your internet address is kept for a short time so that we can limit junk submissions. We cannot use it to identify you.
Our enquiry forms do not ask for identity numbers, banking details or other sensitive information. The rental application is different, and is explained below.
Why we collect it
- To reply to your enquiry and arrange viewings or valuations.
- To let you know about properties that match what you asked for.
- To market, sell, let or manage your property when you ask us to.
- To meet our legal duties as a property practitioner.
We only use your information for the purpose you gave it for. We do not sell it, and we do not pass it to anyone for their own marketing.
Rental applications
When you apply online to rent a property, we collect what the landlord needs to decide on your application:
- Your details: name, contact details, ID or passport number, present address, and the people who will live with you.
- A spouse or co-tenant: their name, contact details and ID, if you apply together. Please make sure they agree to this first.
- Work and income: your employer, how long you have worked there and your gross monthly income.
- References: your previous landlord and a relative or friend. Please let them know we may call them.
- Documents: a copy of your ID or passport, three months of bank statements, a salary slip and proof of residence.
- Your consent and signature: the wording you agreed to, where and when you signed, and your signature.
We use this only to assess your application. With your consent, we run a credit check (ITC) with a registered credit bureau, and we share what is needed with the landlord of the property you applied for. We do not use it for marketing.
Your documents are stored in a private, encrypted area of our database that only Crescent Real Estate can open. They are never published, and the email Fatima receives about your application does not contain your ID number, income or documents.
If your application is successful, your information becomes part of the lease records and is kept for as long as the law requires. If it is not successful we delete your application and documents within 90 days.
Your consent
Each form on this website asks you to tick a box agreeing that we may keep your details and contact you about your enquiry. You can withdraw that consent at any time by contacting our Information Officer. We will then stop contacting you and delete your details, unless the law requires us to keep them.
Where your information is kept
- Our client database: form enquiries and rental applications are stored in a secure online database provided by Supabase. Only people authorised by Crescent Real Estate can sign in to read them.
- Email: a copy of your enquiry may be emailed to Fatima through an email delivery service, so that she can reply quickly.
- WhatsApp: after you send a form, the website offers to open WhatsApp with your message ready to send. If you send it, WhatsApp’s own privacy policy also applies.
- Website hosting: this website is delivered by Cloudflare.
These service providers may store or process information on computers outside South Africa. We use providers that protect personal information to a standard similar to POPIA.
Who we share it with
Only with people who are needed to help with your request or transaction, such as conveyancing attorneys, bond originators, the seller, buyer, landlord or tenant on the other side of a transaction, and service providers who store or process information for us. We may also disclose information where the law requires it.
How long we keep it
We keep enquiry details for as long as we are helping you, and for up to 24 months after our last contact with you. Records of a sale, lease or mandate are kept for as long as the law requires. After that, your information is deleted or made anonymous.
How we protect it
Access to our client database is limited to authorised people, who each sign in with their own password. Information is encrypted when it travels between your device, this website and the database.
Saved properties
If you tap the heart to save a property, the list is kept in your own browser on your own device. It is not sent to us.
Cookies and tracking
This website does not use advertising or tracking cookies. If we add visitor statistics in future, this policy will be updated first.
Your rights
You may, at no charge:
- ask what personal information we hold about you;
- ask us to correct or delete it;
- object to how we use it, or withdraw your consent;
- ask us to stop sending you property updates.
To do any of these, contact our Information Officer using the details above. We will respond within a reasonable time.
If you are not satisfied with our response, you may complain to the Information Regulator of South Africa at inforegulator.org.za or enquiries@inforegulator.org.za.
Changes to this policy
We may update this policy from time to time. The current version, with the date it was last updated, is always on this page.
